A proforma invoice sets out the goods or services, prices and terms before delivery. Buyers use it to approve a purchase, arrange prepayment or prepare import paperwork.

What to include on a proforma invoice
Make it complete enough for the buyer to approve or pay in advance:
- The words proforma invoice and a reference number.
- Seller and buyer details.
- A description, quantity and unit price for each item.
- Shipping or handling costs and any tax.
- The total and how long the offer is valid.
- Payment details if you need prepayment.
A proforma invoice is usually not a tax invoice. Check what customs or your tax authority require for your shipment.

How do I download my proforma invoice as a PDF?
Fill in the client name and at least one item, then select Download PDF at the top of the page. The file downloads straight to your device.
Can I add my logo and change the colours?
Yes. Click the logo box on the invoice to upload your logo, then choose an accent colour, font and template in the settings panel. The preview updates instantly and the PDF uses the same layout.

Is a proforma invoice a tax invoice?
Usually not. A tax invoice is issued when the supply happens and tax is charged under local rules.
